Getting started

You say yes. My team does the rest.

You have already got enough on your plate: staff, patients, suppliers, contractors. The last thing you want is another piece of software to learn and run. So you do not, and my team keeps the whole thing running.

I set it up with you on a call. After that my team runs it — you do not learn new software.

We do the setup. All of it. You are not building anything, and neither is your reception.

Here is exactly how it goes in, so there are no surprises.

The onboarding call

We get on a call and set up your account. On that call we register you a new phone number.

That word matters, because most people expect us to take over their line. We do not. You keep your existing landline and your existing contract, exactly as they are, for your outgoing calls. We buy a brand new number and put it on your website and your Google profile.

That new number is the important part. Every enquiry that comes in on it, a call, a text, a form, a message off social, lands in one place inside the software. Nothing scatters across five inboxes anymore.

What we need from you

Two things, and then we take it from there.

  • Your Google Business Profile. So we can optimise it, run your reviews and rank you in local search.
  • Access to your website hosting. So we can set up email properly. This is the boring bit that decides whether your follow-up lands in the inbox or the spam folder. It matters.

That is essentially your side of it. The rest is my team.

We load your patients in

We upload your existing patient list into the software. Not to manage them, your booking system still does that. Two reasons.

First, so we can ask them for reviews. Happy patients leave reviews when somebody asks and follows up. Most clinics never ask, so the only people leaving reviews are the unhappy ones.

Second, so that when a patient rings, their name comes up on the screen. Your receptionist knows who she is talking to before she says hello.

Your patient data is stored properly. Resoclinx is registered with the ICO as a data processor, and I renew it every year.

We train your receptionist

One session, at go-live. We walk her through the phone script, starting with the first rule: she never gives a price over the phone. Her job on the call is to get the patient booked in, not to close a number.

It is not difficult, and she only ever needs one screen.

It sits in front of what you already use

You keep Pabau, or Fresha, or whatever you run now. That still does your diary, your rooms, your staff register, your till. We do not touch it.

Resoclinx sits in front of it. It is the engine that finds the enquiries and brings them in, answers them, and follows them up until they book. When one is ready to book, your receptionist puts them into your existing software, the way she always has.

Day to day, she works from one screen, the inbox. She reads messages and replies. That is it.

Seven days, then live

Setup takes us up to seven days. Then it is running.

After that, you manage nothing

This is a service, not a tool we hand you. Once you are live, we keep running it. Your reputation management, your citations in the directories, tweaks to the workflows, and we watch the account to make sure everything keeps working.

Your blog is not part of this stage. That comes with the next one, the website rebuild, where we also look after the site for you: keeping the pages up to date, writing the blogs, and putting up a new page every time you add a treatment. It is a service, the same as this one, not a job that lands back on you.

The order is deliberate. You systemise the front desk first. Once that is running and nothing is being lost, the website is the natural next step, and after that, bringing more people to it. Each phase builds on the one before.

Who this isn't for

If you want to run all of this yourself, I am the wrong person. It is built to be done for you. Selling it any other way would be the wrong way round.

And if you were hoping we would replace your booking software, we do not. We sit in front of it. You keep what works.

The next session

See it walked through on the next session

On the next session I show you where clinics lose their enquiries, why they lose them, and how to fix it. I do it live so you can ask me anything at the end. If you cannot make the date, we send you the recording for forty-eight hours.
