It goes in in three stages, in this order
The order is not a sales ladder. It is the order that actually works, and it is the order I did it in for the clinic I know best.
Stage one. Catch what you are already getting
This is where everybody should start, and for a lot of clinics it is where everybody should stop. Every enquiry gets an instant reply. A missed call gets a text back on its own. An AI receptionist answers when nobody can. Follow-up runs whether anyone remembers it or not. Dormant patients get worked. Review requests go out automatically. Your Google profile is run from the same place.

Stage two. Bring more in
Only worth doing once stage one holds water. Advertising into a leaky front desk is the most expensive mistake available to you. Your website gets rebuilt properly, and built so machines can read it as well as people.
The whole of stage two, in detail →
Stage three. Scale it
Google, Meta and Instagram ads run inside the same system, so a click and a booking are connected instead of being two separate stories told by two separate companies.

What it does not do
I would rather you find this out here than three weeks in.
It is not clinic management software. It does not hold patient records, treatment notes, consent forms or your daybook. If you run Pabau, Fresha, Cliniko or anything else, it stays exactly where it is. Resoclinx works in front of it.
The AI receptionist does not book into your diary. It answers, qualifies, and books a callback that your team then converts. That is a deliberate choice, not a limitation we are hiding. Aesthetic treatments need a human conversation before someone commits, and letting a machine drop appointments straight into a clinical diary causes more problems than it solves.
It cannot manufacture demand. If nothing is coming in at all, better follow-up will not save you. That is a visibility problem and it is stage two, not stage one.
On the website, so there is no confusion later. If we rebuild your site, we host it and we look after it. Your domain is yours and always will be. The site itself transfers to you at the end of the term. That is how we can build it without charging you for the build up front, and I would rather say it plainly here than have you find it in a contract.
Who this is for
Owner-operated clinics. Usually two to eight staff. Somebody who is doing well enough to have enquiries arriving, and losing more of them than they realise.
Who it is not for
- Clinics where two people have gone into business together without being equally exposed. I have written elsewhere about why.
- Anybody who wants more leads poured into a front desk that is already dropping them.
- Anybody looking to replace their clinical software. That is not this.
- Anybody who wants to hand it over entirely and never look at it. This works when the owner stays interested for the first few weeks.
How it actually goes in
I do it myself. The system is already built and proven in aesthetic clinics, so you are not paying for somebody to invent it on your time. It gets configured to your treatments, your vocabulary, your opening hours and your phone setup.
You will need to give me an hour or two at the start, and your receptionist will need a short session on the phone script. After that it runs.
There is one box, and it is the only thing your team touches.
Every enquiry lands in the same place, whatever channel it came in on. The phone, a text, WhatsApp, an Instagram message, your website form. All of it arrives in one conversation list, already answered, already qualified, usually with a callback slot the patient has chosen.
Your receptionist replies in that box the way she would reply to a text message. That is the entire training requirement.
Everything around it runs on its own. The instant reply, the callback booking, the follow-up sequence, the review request, the reactivation campaign. She does not start any of those and she does not have to remember them.
Compare that with what most clinics are doing now: a phone, a voicemail, an email inbox, an Instagram inbox, a WhatsApp on somebody's personal mobile, and a note on the desk. Five places to check and no way of knowing what has been missed.
One box instead of five inboxes and a memory. Your diary stays exactly where it is.
The reporting is one page, in plain English, and it answers the only question that matters: which of the things you are paying for actually produced a booking.
Common questions
Can I keep Pabau, Fresha, Cliniko or Zenoti?
Yes. Resoclinx runs in front of whatever booking and records system you already trust. We integrate where it helps and work in parallel everywhere else — you do not switch anything.
How much does it cost?
There is no price on this page on purpose. I walk through exactly what is included and what it costs live on the monthly webinar, with the reasoning behind it and a question and answer at the end, rather than putting a number in front of you with no context.
Is there a free trial?
No. Onboarding is real configuration work that has to happen before the system can run, so there is no self-serve trial. The webinar is the best way to see exactly how it works first, and there is a 30-day money-back guarantee once you start.
How long does onboarding take?
About seven days from signed agreement to go-live: discovery on day one, build through the week, launch at the end, then a check-in and a first monthly review.
When will I see results?
Most clinics see fuller calendars and far fewer missed enquiries inside the first 30 days. The compounding gains — retention, referrals, reactivation — build over the following three to six months.
Will the AI sound robotic to my patients?
It should not if it is built properly. It is scripted in your clinic's tone and you approve every line before go-live. The rule: if it does not sound like something a good receptionist at your clinic would actually say, it does not go out.
What if the AI says the wrong thing, or gets a question it cannot answer?
It never gives clinical advice or handles sensitive matters beyond its lane — those escalate to a human with the full conversation. If it does not know something it does not bluff; it tells the patient a team member will follow up and flags the message for your team. Every script is approved before launch and every conversation is logged.
Does the WhatsApp chatbot really capture treatment-area photos?
Yes. When someone asks about a skin tag, mole, pigmentation or acne concern, the chatbot sends a one-tap upload link, and the photo attaches to the lead before your team even opens the inbox.
Are you built for UK clinics and the 2026 cosmetic licensing rules?
Yes — Resoclinx is UK-first: UK phone and WhatsApp numbers, UK Google Business Profile and local search. As England moves toward licensing for non-surgical cosmetic procedures and JCCP standards tighten, a website that states your registrations, qualifications and safety information clearly is exactly what patients and AI search now look for.
Is Resoclinx GDPR compliant?
Yes. You remain the data controller; we act as the processor. Patient data is stored securely, retention rules are configurable, and we provide deletion workflows for subject-access requests.
What happens if I want to cancel, and who owns everything?
The monthly plan can be cancelled any time after the first month. The plans that include the website rebuild run on a 24-month minimum term, because they include a site we build, host and manage for you; if you leave early we point your domain back to your previous site. Your leads, recordings, data, domain, phone numbers and Google profile are always yours, and the website itself becomes yours to keep once the term completes.
